Schedule
Sentec EMS supports flexible work schedule creation. All work schedule options must be created first through the Configuration - Setup - Attendance menu.
Create


On this page, users can create employee work schedules for specific date periods and per department using table mode. The work schedule options that appear above the table are shift-type schedules. Each employee can only have one work schedule per day. If there is an input error, users can replace the old schedule with a new one. Work schedules created using the table will be immediately active and can be viewed in the calendar.
NOTE
Work schedule updates in table mode can only be done for the next day's schedule.
Creator

Users can determine which employees (besides the Head of Department) can create work schedules. Employees with the "Schedule Creator" permission can create work schedules across departments as per the permissions granted. Work schedules created by the "Schedule Creator" are not immediately active; these plans must be approved by the Head of Department (via the employee page) or from the management page.
Plan

This page displays all work schedule plans created by the "Schedule Creator" for the selected date period. Users can approve or reject the work schedule plans that have been created. If approved, the work schedule will become active.
NOTE
If there are only minor changes to the work schedule plan, users can approve it first and then update the schedule using table or calendar mode.
Request

This page displays the process of shift swaps between employees. The shift swap request process is as follows:
- An employee submits a request to swap work schedules with another employee within the same department.
- The invited employee approves the swap request.
NOTE
The invited employee will receive a notification regarding the schedule swap request and can provide approval – Schedule through the Approval page in the Employee Page.

- The Head of Department (HOD) approves the schedule replacement request.
- If point 2 and/or point 3 are not approved, the schedule replacement process will be canceled.
Note
Users in the management page can take over the role as approver for point 3.
You can also configure the auto-approve setting for schedules in the Configuration - Setup - Attendance page if the schedule requested by the employee should become active immediately after being approved by the invited employee.
View

Displays the work schedule in calendar form. Please select the department first to view the employee work schedule for 1 month in the calendar. Users can filter the work schedule using the menu on the left.
Manage schedule

On this page, users can create or update employee work schedules. Click on a date in the calendar, and a form will appear on the right. Select the employee's name and the work schedule to be added.
Note
Employees can have more than one work schedule in a day.
Custom Work Hour
Users can add work schedules for employees not previously listed in the "Work Schedule". Select the employee, then enter the check-in and check-out times for the work schedule. This type of "Work Schedule" must use "Custom Hour" in the Configuration - Setup - Attendance menu.

It is recommended to create a specific "Work Schedule" for this case.
Split Shift

A work schedule where the working hours are split in one day. For example, an employee works 8 hours in a day, but the working hours are divided into two 4-hour sessions. Users can create a schedule with split working hours similar to custom working hours. Enable the "Split Shift" option when creating the employee's work schedule.

Note
It is recommended to create a specific "Work Schedule" for this case. Employees must still check in/out according to the specified times.
