Reprimand

The Head of Department (HOD) has access to assign reprimands to employees.
The Reprimand menu is only available to the Head of Department and can be accessed through the Performance menu.
Assigning Reprimand

All created reprimands will be displayed in the Reprimand menu.
To create a new reprimand, the Head of Department can click the Add (+) button.
In this section, the HOD can select the appropriate reprimand template and assign it to the employee who will receive the disciplinary action.

After proceeding to the next step, the HOD can:
- Add a description of the violation and the related regulation that was breached
- Attach supporting documents if necessary

The HOD can then review the reprimand details and choose to:
- Save it as a draft, or
- Save and Send the reprimand for approval or submission based on the configured workflow

If the reprimand is submitted directly, and additional approvers are configured, the approval process will follow the defined workflow.
Once the status is Approved, Management or HR can proceed with generating the letter through the Management page and add the required signatures in accordance with the applicable policies.
Draft Reprimand Management
If the reprimand is saved as a draft, the HOD can still perform the following actions:

- View reprimand details
- Edit reprimand information
- Sent to Approver to submit the reprimand for approval
- Delete the reprimand
Reprimand Approval
Once the reprimand is submitted for approval, the assigned approvers will receive a notification via email.
They can also review and process the approval through the Approval → Reprimand page.
From this page, approvers can:
- Review the reprimand details
- Approve or reject the request

Reprimand Letter Signatories
After the reprimand letter is generated or uploaded, the assigned signatories will receive a notification via email.
Each signatory can review the document details and provide their digital signature to complete the authorization process.

Signatures can be provided using the available canvas or by uploading an image file.

Reprimand Letter Access
On the Head of Department (HOD) page, once the reprimand status is Completed and the letter has been generated or uploaded, the HOD can download the letter from the Reprimand Information Details section.

Employees who receive disciplinary action will be notified, and the disciplinary warning will be displayed on their profile. They can also view the reprimand details and download the letter.

Note
Only the respective employee will be able to view their disciplinary notice.
